Incorporated in 2009, under the New South Wales Associations Incorporation Act, 1984, Counterpoint Chamber Choir is governed under the act and regulations by an association known as Counterpoint Chamber Choir Incorporated. All members of the choir are members of the association, which elect a Committee of Management to manage the affairs of the association.
The Management Committee is made up of the office bearers of the association (elected at the Annual General Meeting), the director (ex-officio) and three ordinary members (elected at the Annual General Meeting).
President:
The President is primarily responsible for ensuring Counterpoint Chamber Choir Inc. sets and meets its goals and objectives, is administered in accordance with the associations Constitution, rules and regulations and completes all legal and compliance obligations.
They will also act as Chairperson at meetings of the association and be responsible for good meeting procedure.
Sometimes the President is also the organisation's spokesperson. The role of spokesperson can be played by any member of the committee as long as everyone is clear who it is, and what the role means.
The President is elected at the Annual General Meeting of Counterpoint Chamber Choir Inc.
The Vice President assists the President in their duties and fills in for them if they are not available.
The Vice President is elected at the Annual General Meeting of Counterpoint Chamber Choir Inc.
Formally, the Secretary has the duty to keep minutes of all appointments of office bearers and members of the Management Committee, the names of committee members present at Committee and General meetings, and all proceedings at those meetings.
Practically, the Secretary is responsible for the day to day management and operation of Counterpoint Chamber Choir. They are the 'go-to' person when you want to know something!
The Secretary must have an excellent working relationship with both the Director and the President and is elected at the Annual General Meeting of Counterpoint Chamber Choir Inc..
The Treasurer has responsibility for all things financial. This includes the duty to ensure all money due to Counterpoint Chamber Choir Inc. is collected and received and that all payments authorised by Counterpoint Chamber Choir Inc. are made.
They also ensure that correct books and accounts are kept, showing the financial affairs of Counterpoint Chamber Choir, with full details of all receipts and expenditure connected with its activities.
The Treasurer presents financial reports at each Management Committee meeting including a budget prior to the commencement of each financial year. The budget is regularly monitored, accounts are reconciled regularly and systems are developed and implemented to ensure all funds are properly recorded, money banked and expenses authorised.
The Treasurer is elected at the Annual General Meeting of Counterpoint Chamber Choir Inc.
The Director is:
* the principal conductor and musical director of Counterpoint Chamber Choir
* selects and makes decisions as to repertoire, assisted by the Management Committee
* selects and appoints any assistant conductors, accompanists, repetiteurs, trainers or like personnel required, subject to approval of any financial commitment by the Management Committee
* in association with other members of Counterpoint Chamber Choir, as chosen by the Director, audition potential members and appoint members of Counterpoint Chamber Choir.
The Director is also, ex-officio a member of the Management Committee.
There are 3 elected Ordinary Committee Members of Counterpoint Chamber Choir Inc.
They are responsible for ensuring the representation of all members of Counterpoint Chamber Choir Inc. and to assist the executive members of the Committee in their roles as required.
The Ordinary Committee Members are elected at the Annual General Meeting of Counterpoint Chamber Choir Inc.
In addition to the Management Committee, the choir is administered with the assistance of a group of members who take on various and specific roles required to ensure the successful operation of the organisation.
Social Media Coordinator:
The Social Media Coordinator is responsible for initiating and maintaining a social media presence for Counterpoint Chamber Choir.
They will liaise with the Webmaster to link the social media content with that of the website and with the Social Director and other members of the Administration Team to ensure content is up to date and of interest to members and friends of Counterpoint Chamber Choir.
The Social Director is responsible for initiating and managing a social program for members of Counterpoint Chamber Choir.
They will liaise with other Administration Team members, Counterpoint Chamber Choir members and the Management Committee to ensure that there is a diverse and appropriate program of activities and events to engage all members of Counterpoint Chamber Choir.
Our Photographer is an important supporting member of the Counterpoint Chamber Choir family, although it is not essential or necessary that they be a singing member of Counterpoint Chamber Choir.
They have a critical role as part of the Administration Team, in documenting the activities and history of the choir and providing visual and audio content where appropriate to the Webmaster and Social Media Coordinator to assist them provide dynamic and engaging material to publicly promote Counterpoint Chamber Choir.
The Bookings Coordinator is the person who looks after all enquiries we receive for the engagement of Counterpoint Chamber Choir. They receive the initial enquiry via an email or, preferably, return of an Expression of Interest form, liaise with the client negotiating dates, times etc. and deal with all enquiries regarding the booking - our one-stop-shop with the client.
The Librarian is the person responsible for managing our library of music. This entails the initial sourcing of scores and compilations, the registration within our library and songs management software, the physical preparation and recording of the issue to members and others, and return to the library of those items and the in-house production of scores from downloaded public domain and purchased digital copies of music. The Librarian is critical to the day-to-day management of the choir's repertoire.
The Webmaster is responsible for maintaining and developing the online presence of Counterpoint Chamber Choir.
This entails the management of the web presentation software for both the public facing website and the internal choir management site. It also involves liaison with the developers of the software.
The Webmaster must liaise closely with and support all members of the Administration Team, especially the Social Media Coordinator, and the Management Committee to assist with and implement and manage required communication with members of Counterpoint Chamber Choir.
